Emergency mass notification for offices: a checklist

29 July 2026 · 5 min read

A fire, a flood, a security incident: the first job is to reach everyone on site immediately and then account for them. Email alone will not do it, and a phone tree falls apart under pressure. Mass notification and a live roll-call turn a panic into a process.

Reach people where they are

People do not watch their inbox during an emergency. Send across every channel at once, SMS, WhatsApp, email and a push notification, so the message lands wherever their attention is.

Keep the message short and direct: what is happening, what to do, and where to go. Save the detail for later.

Know who is on site

You can only account for people if you know who is in the building, which means visitors as well as staff. This is where a live sign-in system earns its keep: it already holds an accurate on-site list.

An evacuation roll-call against assembly points lets marshals mark people safe and see, in real time, who is still unaccounted for.

Practise before you need it

A notification system you have never tested will surprise you at the worst moment. Run a drill: send a test broadcast, time how long it takes to reach everyone, and run the roll-call end to end.

Fix what the drill exposes, wrong numbers, missing staff, a slow channel, while it is cheap to fix.

Key takeaways

  • Broadcast across SMS, WhatsApp, email and push at once, with a short, clear message.
  • Base roll-call on an accurate on-site list that includes visitors.
  • Mark people safe against assembly points and surface who is missing.
  • Drill the whole flow before a real incident tests it for you.
